1990-015 Oro ~ THE CORPORATION OF THE TOWNSHIP OF ORO BY-LAW NO. 90-15 Being a By-law to Appoint a Records Co-ordinator and Prescribe the Duties of that Position WHEREAS Section 208, Subsection of 45 of the Municipal Act, R.S.O. 1980, as amended provides that Council may pass by-laws to appoint such officers and servants as may be necessary for the purposes of the Corporation and for prescribing their duties; AND WHEREAS in preparation for the requirements of the Freedom of Information and Protection of Individual Privacy Act, the Council has authorized the implementation of a new Records Management System; AND WHEREAS the Records Management System adopted by Council requires the appointment of a Records Co-ordinator with specific responsibilities; NOW THEREFORE the Council for the Corporation of the Township of Oro hereby enact as follows: 1. Beth A. Oosthuizen is hereby appointed as Records Co-ordinator for the Township of Oro. 2. The Records Co-ordinator shall; a) Maintain the integrity of the records management system. b) Evaluate suggested additional headings from the User Departments and incorporate the necessary headings into the file system. c) Distribute revisions of the System Maintenance Manual to Users of the System. d) Ensure all Users are following the prescribed file system. e) Establish regular communication with Users of the system regarding all aspects of the records management program. f) Provide training for new Users of the system. g) Answer all questions regarding the system. h) Ensure the prescribed method of records destruction is followed. i) Assign retention dates and disposition requirements to new records, in consultation with the Users, Legal Advisors, Clerk's department, Treasury and Archives. j) Update the retention dates and disposition requirements in accordance with legislation changes. .. .. BY-LAW NO. 90-15 k) Answer questions regarding all aspects of the Records Retention Schedule and File Storage operations and services. 1) Develop other elements of a Records Managment Programt e.g. Vital Records and Archives Programt Forms Management etc. 3. This by-law shall take effect on the date of passing thereof. READ a first and second time this 5th day of February t 1990. READ a third time and finally passed this 5th day of February , 1990.
