02 02 1988 Oro History Committee - MinutesTOWNSHIF OF ORO HISTORY COMI:ITTEE MEETING - February 2. 1988 The Township of Oro History Committee met this evening at the call of the Chairman in the Council Chambers, all members having been duly notified, with the following members present: Howard A. Campbell C. Wallace Key Ruth Fraser Walter Hutchinson LoreenLucas Henry Neufeld Absent: Joanna 1cEwen, Marlene 1tiawdsley, Jean Cameron 0rening,- The meeting was called to order by the Chairman at 7:00 p.m. L.inutes The.Minutes of the last regular meeting held on January 12, 1988 had been distributed to all members and it was moved by Ruth Fraser and seconded by Walter Hutchinson that the Linutes of the last regular meeting held on January 12, 1988, be adopted as printed and received. Business arising from the Minutes of the meeting of January 12th. (a) The Chairman gave a report on the attendance at a meeting of Oro Council held on January 18, 1988, along with the Secretary with respect to the resolution of 0ro Council which had rec- ommended that the price of the Story of Oro be $10.00 regardless of quantity. The Chairman advised that after the Committee's concerns had been heard by Council along with the Secretary's report on meeting with the Printers reg=rdifhg the invoice and explanation of same, Oro Council were prepared to leave the price of the books as previously approved by Council for $10.00 per copy and $8.00 per copy for the purchase of ten or more and paid for at the time. Cb) Secretary reported that he had met with Don James of Dyment Stubbley Printers by himself since the time scheduled for the appointment was not cor6nient for Joanna McEwen. Secretary advised that he had reviewed the items of the invoice with Mr. James, who had explained the process of the chargesfor the extra pages and additional costs for the 120 halftones which were the additional pictures over the amount quoted in the Estimate of 150 (now a total of 270 including the pictures in the original Story of Oro which had to be re -shot). The Secretary then presented a written memo to the Treasurer of Township of 0ro and reviewed with Council at the meeting on January 18, 1988. The memo outlined the explanation from the Printers for the additional charges on the added work per- formed and charges for same. Also the Federal and Provincial sales taxes do not apply, as confirmed after the Treasurer had contacted the respective derartments to obtain the necessary authority required by the Printers for their records. Also further that a discount of 2% was applicalble to the remaining total of $16,770.50, if paid by January 18, 1988, being ten days after receipt of the invoice. rnr,+ Irl - 2 Apparently the account was not able to be paid in time for the discount, as advised by the Administrator at the meeting of Jana,==ry 18, 1988. (c) Presentee copy of letter to Jean Cameron suggesting that she remain as member of the Committee even though she may not be able to attend all meetings. And her letter of response advising she would like to remain as a member under those circumstances. Also coy of letter to Randolph Forbes re: concern over the ownership of the property known as 'The Heard Tavern. It was moved by Wallace Key and seconded by Loreen Lucas that the reports and explanations of matters arising out of the minutes as presented and action taken be accepted as satisfactory. -Corresrondence & Communications (a) Copy of letter to Jean Cameron with respect to remaining as a member of the History Committee and letter of reply advising she wished to continue as a member. FORBES (b) Copy of letter to Rani in response to his concern with respect to the ownership of the property historically known as 'The Heard_Tavern', as shown in the Story of Oro Update, advising that should a third edition of the Story of Oro be undertaken, the ownership Vould be corrected, since the matter was taken under advisement and recorded in the Minutes as well as the letters being placed on file in the Township of Oro History File. (c) Presented letter from tte Administrator/Clerk forwarding resolution of Council authorizing a Complimentary copy of the Story of Oro, autographed by Council be presented to each member of the History Committee and commending the Committee for their work and interest and expressing Council's appreciation. (d) Presented letter from the Administrator/Clerk forwarding resolution of Council appointing members to the Township of Oro History Committee for 1988. Resolution re -appoints all present members of the Committee, plus one new member. (e) Presented corespondence and/or communications re: proposed Memorial Service at the African Church in June of 1988. Copy of letter from Allan K. iicLean, L.I P. to the Lieut. Governor of Ontario and copy of letter to I:ir. McLean from the Office of the Lieut. Gorvernor, The Hon Lincoln Alexander advising that he would not be able to except the invitation and attend the Memorial Service. Secretary also advised that i,.r. i.i:cLean had contacted him to advise that the Lieut. Governor would be unable to attend and advising further that the Lieut. Governor does not attend functions as a guest speaker but only to bring Greetings from Her ivajesty the Queen. (Apparently a misunderstanding of invitation which was to be as a guest of the Municipality not as a speaker. 3- Also presented letter from Allan K. McLean, M.F.P. advising that Dr. Daniel G. Hill had confirmed that he would be pleased to attend the Memorial Service on June 12th, 19e8 and to participate in the Service at the African Church. Enclosing as well a copy of his letter to Dr. Daniel Hill. Presented copy of letter from the Administrator/Clerk to Allan K. McLean, M.P.F. expressing Council's appreciation for his effort in endeavouring, by invitation to have the Lieut. Governor attend as a. guest at the Memorial Service proposed at the African Church. It was moved by Ruth Fraser and seccnded by Walter Hutchinson that the Coresspondence and Communications as received and forwarded, as presented be accepted as satisfactory and be filed for future reference. Election of Chairman for 1988 The Chairman, Howard Campbell wished tb:.be relieved from the Office of Chairman. Walter Huchinson nominated C. Wallace Key Moved by Ruth Fraser and seconded by Lereen nominations close. C. W 11ace Key was declared Chairman of the Cro History Committee for 1988. Appointment or Election of Secretary for 1988 Lucas that Township of Howard Campbell nominated -Henry Neufeld There being no further nominations it was moved by Howard Campbell and seconded by Ruth Fraser that Henry Neufeld be the Secretary for the Township of Oro History Committee for 1988. Atinointmdnt of Ad Hoc Committees - 1988 African Church Committee - to be appointed at next regular meeting Picture Committee - Howard Campbell, Ruth Fraser and Walter Hutchinson. The Chairman, Wallace Key assumed the Chair for the balance of the meeting. It was suggested that a letter of appreciation be sent to Joanna r;icEwen for her work and tireless effort as the Editor for the Update of the Story of Oro. It was left that this be brought to attention of the Administrator/ Clerk to suggest to Oro Council that a letter be forwarded to Joanna EcEwen. All Committee members present concurred that appreciation be expressed to Joanna Iti:cEwen for time and interest taken to undertake the work as Editor which cert. c ntjJ1 involved much more time than anticipated NPw Business (a) }rotects for 1988 (i) Memorial Service at the African Church to be held on Sunday, June 12, 1988. (ii) Booth at Oro Fair - It was suggested that a different location at the Fair may be more appropriate, possibily consideration for space in Hall Basement. Left for further discussion. It was moved by Loreen Lucas and seconded by Howard Campbell that Oro Council be requested to reserve space for a Booth for the Township of Oro History Committee at the Oro World's Fair in 1988. (b) Budget - after considerable discussion the following resolution was passed: It was moved by Walter Hutchinson and seconded by Ruth Fraser that the History Committee recommend that Oro Council grant the Township of Oro History Committee a Budget of $850.00 for 1988, and further that this amount is beig submitted as an estimate, a breakdown is to be submitted following the next regular meeting of the Committee. Carried (c) Proposals for Memorial Service Program Referred to next regular meeting. (d) Pictures and Material rep Township of Oro Olymrc Celebration to be held on February t1, 1988 All pictures and material to be available and presented to Howard Campbell by February 15, 1988. Accounts - Howard Campbell presented invoices for for obtaining copies of photographs and an Album to hold same. It was moved by Loreen Lucas and seconded by Ruth Fraser that the account ns presented by Howard Campbell be accepted and forwarded to Treasurer of the Township of Oro for payment.
