01 12 1988 History Minutes f .. ~ þ TOWNSHIP OF ORO HISTORY COMMITTEE MEE1ING January 12th. ~ The Township of Oro History Committee met this evenin¡ at the call of the Chairman in the Township Council Chambers, all members havin¡ been duly notified, with the followin¡ members present: Openini: Minutes Howard A. Wallace Key: Ruth Fraser Walter Hutchinson Loreen Lucas Henry Neufeld Absent: Jean Cameron The meetin¡ was openedat 8:00 p.m. by the Chairman The minutes of the last re¡ular meetin¡ held on the 26th of November, 1987 had been distributed to all members. It was moved by Wallace Key and seconded by Joanna McEwen that the minutes of the last re¡ular meeting held November 26th, 1987, at the home of Joaana McEwen be adopted as printed and received. Business arisini: from the Minutes of the meetin¡ of November 26th. 8 (a) (b) 8 Secretary reported on the notification of the completion of the printin¡ of the Story of Oro by the Printers on Decemver 11th, advisin¡ that the books would be available for December 17th, 1987, as the last of copies for perfect bindin¡ had been taken to Toronto on December 14th and that all bindin¡ was scheduled to be completed by Dec. 16th. The Advertisin¡ and }Promotion Committe met at the home of Mrs. Loreen Lucas followin¡ the notificatiên, namely ~ Loreen Lucas, Marlene Mawdsley, Henry Neufeld and the Chairman, Howard Campbell to discuss methods of advisin¡ the Public that copies of the story of Oro (2nd Addition) were now available and could be obtained at the Township Office and from members of the Committee after Dec. 18/87. By telephone from the home of Mrs. Lucas, the local News- papers of Barrie and Orillia were contacted and rwquested to put notices in their papers under Community News. Also all local Reporters under Community News for both the Barrie and Orillia papers were asked to mention same in their write-up under Community News. Mrs. Loreen Lucas was also interviewed, by telephone, by the Reporters of the papers. Arran¡ements were also made for Joanna McEwen, as Editor of the book for interviews with the Barrie Examiner, Advance Banner and Orillia Packet and Times. Radio Stations of Barrie and Orillia were also asked to advise the Public under Community New$. Both Radio and Newspapers did publicize the availability of the Story of Oro well and many people were able to obtain the book for Christmas on such short notice. 4,. (c) ~ (8) - 2 - Distribution of the books - How£rd Campbell distributed Books to members of the Committee and to Besse Crawford who had volunteered to sell books, and also to ~~s. Pffrimer, Shanty Bay Post Office as well as to the Oro Station General Store. Henry Neufeld distributed books to the remainder of the members of the Committee. Books were also made available at Banbury I s Food Market.' Councillor David C§ldwell Had books available at the Hawkestone Beneral Store. Secretary advised of letters received and forwarded which are to be presented under Correspondence. McLean forwardin¡ reolution of Council requestin¡ that an invitation be extended to the Lieut. Governor of Ontario, Lincoln Alexander to attend the proposed Memorial Service to be held at the African Church on June 12th or alternatively June 19th, should the 12th not be suitable to all concerned. Presented letter from Administrator/Clerk forwardin¡ resolution of Council re: proposed service at the African Church, settin¡ out that the History Committee be res- ponsible for the Service and contactin¡ the Ontario Black History Society for participation. Presented letter and copies of same to be forwarded to the Ontario Black History Society requesting that they part- icirate in the proposed Memorial Sèrvice at the African Church amd that the History Committee be advised as to the participation by the Society. Letter explains the purpose of the Service and outlines what part the Society has taken at prEvious Services, held in 1949,1956,1970 and 1985. Also enclosin¡ copies of the pro¡ram for the Services held, as well as copies of the pages of the Update of the Story of Oro that refer to the African Church. Memo for Administrator /Clerk's Office forwardin¡ resÐution of Council passed at the Committee of the Whole meetin¡ held on January 11,1988, recommending that the Story of Oro (Second Edition) be sold at a price of $10.00 per copy with no discount for number of copies. Presented letter to Administrator/Clerk from Randolph Forbes, passed to the History Committe, with respect to property known as"The Heard Tavern", shown in the Story of Oro as being property owned by John Campbell and sho~ld have been updated to show that it is the property of Rando~ph Forbes. Requestin¡ correction of the error prior to the next printing. :: - 3 - þ Following consideration of all correspondence and communications the following action was taken by the eommittee: It was moved by Marlene Mawdsley and seconded by Ruth Fraser that letters and copies of letters received, forwarded and to be forwaaded be accepted as satisfactory and copies of same be placed on file for reference. Moved by Marlene Mawdsley and seconded by Wal1ac,e, Key that in response to resolution of Council recommendin~_thàt the Story of Oro be sold at the price of $10.00 per copy with no discount for numbers purchased, the History Committee would recommend and suggest that retail outlets and persons purchasing, by cash payment, ten or more books, should be a continued policy as originally approved by Council, since Newspaper and other Media coverage of the Story of Oro did quote the rates. And further that the Committee would be prepared to meet with Oro Council in this re¡ard. It was moved by Joanna McEwen and seconded by Loreen Lucas that a letter of response be forwarded to Randolph Forbes with respect to his concern about the ownership of the property historically known as liThe Heard Tavern" as shown in the Story of Oro. I A letter dated January 12,1988, from the Treasurer of the Township of Oro was presented - the letter enclosed a copy of the Invoice from the Printers, Dyment Stubbley, which in total was for $16,770.50 plus Fed. Sales Tax of $2012.46 and Provincial Sales tax'of $1314.77 for a grand total of $20,097.77. Letter advises that Council had approved a total of $12,5'1+5.00 in April of 1987, and requests that the Committee varify the correctness of the invoice and comments as to whether the additional work shown on the invociee had been completed. After review and consider ation of the invoice as received by the Township the following resolutions were passed: Moved by Loreen Lucas and seconded by Wallace Key that Joanna McEwen and Secretary, Henry Neufeld be directed to meet with Dyment Stubb1ey Printers Ltd. with respect to the invoice for the Story of Oro and review all items of the invoice in- cludin¡ Federal and Jrovincial Sales Tax. Moved by Joanna McEwen and seconded by Walter Hutchinson that the History Committe have reason to believe that the publication of an Historical Book which contains no advertising is exempt from Federal and Provincial Tax and strongly suggest that the Treasurer of the Township look into this matter and further that the Original story of Oro had not been subjest to either tax. 8 Editor's Re ort on the Pro ect No further comments to the round the table discussion of the Committee this evening. t". þ It 8 , - 4 - Reports of Committe. (a) The Chairman advised that he taken the time to replace the pictures used for the printing of the Update of the Story of Oro back into the Photo Albums of the Township. The Secretary was directed to write a letter to Jean Cameron requestin¡ that she continue as a member of the History Committee, even though she may not be able to attend all meetings. other Business (a) The Chairman advised that the Historical Society and County Museum will be holding a Heritage Day on Saturday, February 6,1988. The matter of Bud¡et for 1988 was left to the next meetin¡. (b) Ad j ournme.n1t.
