02 13 1992 History Minutes .. 8 THE TOWNSHIP OF ORO HISTORY COMMITTEE MEETING February 13, 1992 The Township of Oro History Committee met this afternoon at the home of Loreen (Rice) Lucas, Chairperson, for a regular meeting and work meeting afterwaràs, in accordance with the resolution passed at the last regular meet ing held on January 29, 1992. The following members were present: Loreen (Rice) Lucas Howard A. Campbell W~ter Hutchinson Henry Neufeld Earl Robertson Tim Crawford Absent: Bernice Hickling; Neil KcNiven and Sandra Shelswell. The meeting was opened by the Chairperson at 2:10 p.m. Opening Minutes The Minutes of the last regular meeting held January 29,1992 were on motion of Walter Hutchinson and Earl Robertson adopted as printed and received. Business arising from the Minutes 8 The Chairperson advised that she along with Joanna McEwen had met at the office of the Clerk with respect to History Committee materials and documents as well as other documents and records presently in the storage Vault. And advised it was indicated thatthe History Committee would be given an opportunity to review any material and/or documents before any of them were scheduled for disposal. Also that it could be arranged for a staff member to work with the History Committee for the purpose of indexing a data base and filing system on the Computer. The Chair~erson further advised that the meeting with the TownshiD Clerk succesful and that the Clerk had indicated that Council would be in agreement to have the History Committee review any documents or records in the Viult once the Administrative staff began the process of going through all material and documents in the Vault, of which the History Committee would be advised. The Chairperson advised that as in previous ocassions she had always found that the staff as well as Council.shown coperation regarding any reasonable requests. had Correspomdence and Communications - none presented re: ~ap showing Hills of Oro and names by which they were known. The Chairperson produced a map showing the various Hills plotted in the respective areas of the Township by lot and Concession, which she had just completed from the map presented by the Ad Hoc Committee. Names of the various Hills as they had been commonl.y. referred to would be listed on the side of the map when completed. Old and unfinished Business 8 'Yim Crawford presented a copy cf a computer print-out, being a summary explar£tion of the names of the hills and mode of trans- portation and road construction. The summary also indicated the 8 8 8 - 2 - types of harness on the horses required to travel up and down the Hills and hollows. More research is to be made in- this regard and then added to the summary which is to appear on the side of the map. A lengthy discussion resulted once comments were brought forward which would a~pear to be of great historical value. New Business A discussion was held regarding the Project for this year regardIng the preparation of the slides for Video Tape and voice commentary for same. Tim Crawford had put on tape some of the Slides without voice which was viewed, by VCR on the TV screen. The Committee also had the opportunity of viewing the Video Tape of the Unveilling of the Plaque for the Author Marian Keith which had taken place on June 8,1991. Joanna McEwen arrived at approximately 3:45 p.m to further advise the Committee with repect to means of having the Slides put on Video Tape. She advised that she was pleased to report that this work could be done at Twin Lakes Secondary School in Orillia. Apparently this school had the best equipment for this purpose. And that it appears that it will be no probles to get the work done. The matter of timming will have to be arranged when the Committee is ready, after all documentation and necessary voice commentary has been completed by the CoIT~ittee members. This will take a number of work meetings. The next item to be accomplisaed, the reviewing of the records of historical nature in the Township Vaults and the prepapation indexing a data base and filing system on the Computer, for all future records. Once the Administrativè staff commence the task of checking all records and documents in the vault for rearrangement of storage in the Vault. At this point it will require volunteer time of members of the History Committee to review materials that may be scheduled for disposal After discussion and consideration it was resolved that the Committee embark on a program to accomplish the recording and preparation of same on Computer, namely Slides, documents and records in the vault:- (1) establish a Data Base and filing system (2) get slides on video tape - after - (3) preparation to have slides with voice commentary complet4d for Video,Tape To accomplish the project it was moved by Howard Campbell and seconded by Earl Robertson that a letter be forwarded to Oro Council requesting tijat a Staff member be named and appointed to work with the Oro Township History Committee to accomplish the Project of recording and preparation of all historical documen:tls in the Township Vault for indexing a data base and filing s~stem on the Computer.
